Alumni & Parents

Because classmate to classmate contact has proven to be the most effective way for Queens to reach its alumni, Queens has developed a class representative system. This system currently consists of class presidents, agents and reporters. Through these positions, along with other alumni volunteers, we hope alumni will stay in touch with one another, as well as with Queens.

Class representatives are elected each year during Reunion Weekend and volunteers are asked to serve until their next Reunion. A class is able to elect more than one person to each office; in fact, it is encouraged to form committees. This sharing of responsibility is a great way for classmates to work together and get more volunteer involvement, while reducing their workload.

Below are job descriptions for all class representative positions/committees. Job Description

Act as the primary liaison between the class and the Office of Alumni Programs

The president works closely with Alumni Programs to encourage class participation at Queens’ alumni events, especially Reunion.  

Spearhead Reunion activities

The president corresponds frequently with the Class Agent and Class Reporter Committees to coordinate and maximize their activities in an effort to encourage attendance at Reunion and class giving to The Queens Fund. 

Plan Reunion Class Party

The president hosts or plays a major role in planning their Reunion Class Party.  The Office of Alumni Programs assists the president by offering event planning tips and publicizing the Class Party in Reunion invitations, email reminders, online communication and alumni publications.   

Assist the Class Agent and Class Reporter Committees

The president assists their Class Agent and Class Reporter Committees as needed by updating both committees with current contact information and news from their classmates.  The president may also communicate updates from both committees to the entire class.   

Make a gift to The Queens Fund

Gifts, regardless of their size, are incredibly important to the success of the University.  The Office of Annual Giving asks that you please make your Queens Fund gift as your first task as a class officer to lead by example and encourage your classmates to do the same. 

 

Class Agent Committee

How many people are on the Class Agent Committee?

Ideally we will have four people on this committee. We will accept more or less depending on the number of people who agree to participate. We must have no less than  two people.

What is the Class Agent Committee?

The mission of the Queens University of Charlotte Class Agent Committee program is to promote lasting relationships between the committee, their classmates, and their alma mater, by encouraging alumni participation and support for the financial stability of the University. 

What are the responsibilities of the Class Agent Committee?

To make a gift to The Queens Fund

Gifts, regardless of their size, are incredibly important to the success of the university.  The Office of Annual Giving asks that you please make your Queens Fund gift as your first task as a Class Agent Committee member. Remember, it is hard to encourage others to give if you have not committed to give first.

To encourage classmates to make their gift to The Queens Fund

After you have made your gift to The Queens Fund you are ready to ask your classmates to make theirs.  Encourage them to give, as you have done, regardless of the size of their gift, everything helps!

To write and send an e-mail solicitation letter twice a year or mailed letter once a year

The Office of Annual Giving will provide a sample class letter which can be adapted or used as is.  This committee is also welcome to write their own letter with the approval of the Office of Annual Giving.  The Office of Annual Giving will provide e-mail addresses for classmates or print and provide all materials for mailing.

To write thank you notes as appropriate

While the Office of Annual Giving acknowledges all gifts to Queens, you may want to hand write thank you notes to your classmates as well.  Supplies can be provided by the Office of Annual Giving. 

To work as a liaison between classmates and the Office of Annual Giving

As a member of the Class Agent Committee, you will have direct contact with your classmates; as they raise concerns, make suggestions or express interest in being involved. It is your job to communicate their needs to the Office of Annual Giving.

To encourage alumni participation in programs

We want all of our alumni to participate!  Please, as a member of the class agent committee, attend all university events that you can, and encourage your classmates to join you.

 
 
Class Reporter Committee

How many people are on the Class Reporter Committee?

It is strongly recommended that each class have at least two reporters.  Each class may have a maximum of four reporters. 

What is the Class Reporter Committee?

The mission of the Class Reporter Committee is to promote lasting relationships among the committee, their classmates, and their alma mater by encouraging alumni to stay connected by submitting their latest news for publication in the Class Notes section of the Odyssey, Queens’ alumni magazine. 

What are the responsibilities of the Class Reporter Committee?

Collect Class Notes once a year

Class Reporters oversee the collection of Class Notes from their classmates once a year for publication in the Queens Magazine.  The Office of Alumni Programs sends each reporter their class list including email addresses, postcards to collect news from classmates that do not have email, and complete instructions on how to collect the notes.  Reporters provide postage for their postcards. 

Edit Class Notes

Reporters edit the news they receive from classmates based on the Queens style.  The Office of Alumni Programs sends each reporter style guidelines along with the packet including their class list and postcards.  Reporters must meet the submission deadline specified by the Office of Alumni Programs. 

Forward updates to the Office of Alumni Programs

In collecting the Class Notes, reporters often receive updated addresses, emails and phone numbers from their classmates. Reporters forward this information to the Office of Alumni Programs to keep their class list current.

Reporters assist their President and Class Agent Committee as needed by providing both with current contact information and news from their classmates.  Reporters may also communicate updates from the President and Agent Committee to the entire class through the Class Notes.
